Office Manager seek nz 2024 At Alpha Rail, we are dedicated to transforming the transportation landscape through innovation and efficient project delivery. As the Office Manager, you will play a key role in directing, organizing, and controlling daily activities under the guidance of our experienced General Manager (GM)

 

Key Responsibilities:

Collaborate closely with clients/staff to understand requirements and contribute valuable insights to the planning process.
Support the team in drafting and issuing project proposals, RFPs, tenders, budgets, cash flows, and preliminary schedules.
Utilize project organization and communication charts to facilitate streamlined coordination and communication.
Monitor and track the progress and quality of work performed by various teams to ensure project timelines and objectives are met.
Utilize project scheduling and control tools to monitor project plans, work hours, budgets, and expenditures, ensuring projects stay on track.
Communicate project information effectively and accurately to clients and the project team.
Prioritize clients’ needs, ensuring timely and cost-effective project delivery in the Transport sector.
Collaborate with the GM in reviewing contractor quotations and recommending fair and reasonable pricing.
Manage contemplated change notices and change orders in the database, maintaining accurate records.
Keep the PM and stakeholders informed about project status and any potential issues that may impact client relations.
Maintain strict adherence to Health and Safety requirements, conducting regular safety inspections, and proactively addressing potential hazards.
Assist with the Accounts Receivable process, including invoicing, payment tracking, and timely collections, while resolving billing discrepancies.

 

Key Requirements:

Excellent communication skills, both verbal and written, with the ability to deliver compelling presentations.
Demonstrated ability to work effectively both independently and in a team-based environment.
Adaptability and flexibility in handling changing priorities to keep projects on track.
Strong multitasking skills, managing multiple project aspects with meticulous attention to detail.
A tertiary degree or relevant qualification in project management or a related field.
